PPO Logistics Operations Update

To: PPO Logistics Core Carrier Group

One of the goals of the PPO is to bring uniformity to all aspects of the business cycle. That includes A/P & A/R practices, so we are presently going through some enhancements to the accounting process. One change, in response to frequent vendor requests, is the implementation of an “AFS (Ahold Financial Services) Solution Center”.

Please direct your accounting questions to 717-960-1700 ext 3.

I’d also like to point out some new fields that have been added to the PPO Logistics website. There are now fields for unloading fees paid by carrier & length of time at delivery location. This will be mandatory when the status is changed to delivered.

We’re looking at how we can reduce cost through improved efficiency at the Operating Companies and your help is required to gather information. In the near future you will also see a field for OS&D issues upon delivery, to eventually improve the flow of information for accounting purposes.

I would also like to take this opportunity to stress the importance of accurate updates on the PPO Logistics website and in particular the “on time” field. Please understand that the on time (yes or no) button is a very important part of our operations process. Whenever you mark a load as “not on time” it notifies us here at the PPO so we can take the appropriate steps to counter any potential issues. This does not affect your “on time” delivery percentage; in fact it offers further support of the level of your service. The goal is to address these problems early enough to get back on schedule and achieve an on time delivery. The “gut check” comes when you mark loads “delivered”. That is the point at which the system is not only confirming delivery, but asking: Did this load deliver on time? The updates provided along the way will offer support to your answer. If the truck was delayed due to circumstances beyond their control, it will be clearly documented. If we have not been notified of a specific issue in a timely fashion…the truck must take responsibility for that. As always, the computer does not replace the need for direct communication (phone call) if an issue arises, but it supports us all in providing a necessary flow of information and history.

Once again I want to remind everyone to employ all “the basics” of perishable transportation as we go through the summer months. Communicate any delays that may effect on time delivery, pulp all products and don’t load items that don’t meet the temperature specifications on the Bills of Lading. Request Temp Tale temperature recorders and know where they are placed on the load. Know what is being loaded onto and unloaded from your truck. Keep a close eye on temperatures as you cross the country. Make pick-up and delivery appointments in a timely fashion and most importantly…Deliver on time!

Thank you,

Mike Clayton
